Job Summary

We are looking for an experienced Master Data Management Assistant Manager to manage accurate and timely maintenance of employee master data across HR, payroll, timekeeping, and benefits systems. The role will ensure data integrity, compliance with internal policies and labor regulations, and seamless integration across systems such as ADX, WinTeam, and LISA.

The position will work closely with Payroll, Benefits, IT, and HR Business Partners to support the complete employee lifecycle and ensure accurate downstream processing.

Key Responsibilities

Employee Master Data Management

• Process employee master data changes, including:

  • Cost center and compensation/pay rate updates

  • Union code changes, ensuring Benefits teams are informed

  • Office location, supervisor, and job title changes

  • Job changes, promotions, demotions, and employee transfers

  • Primary Job Number changes within the same or across locations

Employee Lifecycle Transactions

• Review and process new-hire records and promotion validations.

• Process employee returns from Leave of Absence (LOA).

• Manage LOA, ROE, and employee termination transactions.

• Process employee reactivations and status changes.

• Manage subcontractor records and personal action requests.

Data Reconciliation & Reporting

• Prepare and analyze data fallout reports across:

  • ADX to WinTeam

  • LISA to WinTeam, where applicable

• Perform manual data corrections and resolve identified fallouts.

• Reconcile HR, payroll, and benefits-related data to prevent downstream issues.

Compliance & Audit Reviews

• Conduct periodic and ad-hoc reviews, including:

  • Anniversary bonus reviews

  • Pay rate and job data audits

  • Benefits-impacting changes related to union codes

• Ensure employee data complies with labor laws, union agreements, and organizational policies.

Employee Information Maintenance

• Process and validate changes to:

  • Employee addresses

  • Email addresses and phone numbers

  • Direct deposit/banking information

  • Social Insurance Number (SIN)

IT & Cross-Functional Coordination

• Raise and manage IT service tickets for employee data-related changes.

• Coordinate phone/email updates and system-access dependencies.

• Collaborate with Payroll, Benefits, HR Business Partners, and IT to ensure timely and accurate processing.

Required Skills & Competencies

• Strong understanding of HR Operations, payroll inputs, and employee lifecycle management.

• Hands-on experience with HRIS, payroll, and timekeeping systems such as ADX, WinTeam, LISA, or similar platforms.

• Strong analytical, data validation, and reconciliation skills.

• Excellent attention to detail and data accuracy.

• Ability to work effectively with cross-functional stakeholders.

• Good understanding of employee data confidentiality and compliance requirements.

Preferred Qualifications

• Bachelor's degree in Human Resources, Business Administration, Commerce, or a related field.

• 7–10 years of experience in HR Operations, Payroll Operations, Master Data Management, or Order Management.

• Experience handling high-volume employee lifecycle transactions and data reconciliations is preferred.
